Privacy Policy

This policy describes how we handle personal information when you visit our website, request a quote, apply to become a partner, contact us, or use a Softnex business portal where available.

Last updated: 15 October 2026

In brief

We use the information you submit to respond to enquiries, evaluate partner applications, prepare and deliver projects, administer business relationships, secure our services, and comply with legal obligations. We do not sell personal information as a business practice. Please do not send passwords, one-time passcodes, or payment-card security details through general website forms.

1. Who we are and who this policy covers

This Privacy Policy applies to Softnex Technologies ("Softnex", "we", "us", or "our") and information handled through the Softnex public website, request-quote and contact forms, partner application forms, communications with our team, and business or partner portal features where those features are available.

Our stated business location is Navi Mumbai, Maharashtra, India. For privacy questions, contact[email protected].

This policy explains our general information-handling practices. Applicable privacy and data-protection laws may provide additional rights or impose additional duties. Where a separate client contract or product-specific privacy notice applies, it should be read together with this policy.

2. Personal information we may collect

Quote, contact, and project enquiries. We may collect your name, business or organisation name, email address, phone or WhatsApp number, service type, project description, approximate or optional budget, preferred contact time, and the details you include in your message.

Partner applications and lead referrals. If you apply to become a partner, we may collect your name, city, phone number, email address, experience, business network, types of businesses you can reach, and other information you submit. Approved partners may create or manage lead records, which can include a prospect's business name, contact person's name, business type, contact details, requirements, estimated budget, notes, source, referral code, and lead status.

Client and project administration. If you become a client or use a business portal, we may process contact and business details, project requirements, proposals, scope, correspondence, project status, approvals, notes, invoice and payment references, and records needed to deliver and administer the relationship. We do not ask for payment-card PINs, OTPs, or complete authentication credentials through general enquiry forms.

Account and security information. If an account is provided, we may process account identifiers, role and access permissions, login/session events, password-reset events, and other records needed to manage access and protect the account.

Technical and usage information. When you visit the website or use our services, our systems or service providers may record technical information such as IP address, browser and device details, approximate connection information, requested pages, timestamps, error reports, and security logs. The exact data depends on hosting, security, and website tools actually enabled.

Information you choose to send. We may process other information contained in emails, attachments, phone or messaging conversations, or project materials you voluntarily provide. Please limit the information you send to what is reasonably needed for the enquiry or project.

3. Where information comes from

Information usually comes directly from you when you submit a form, email us, speak with us, apply to the partner program, enter information into a portal, or work with us on a project. A business contact may also provide information about a colleague or potential client in connection with a legitimate business introduction. Technical and security data may be generated automatically by the website, hosting, and security systems used to operate it.

If you submit another person's contact details, you must have an appropriate basis and permission to share that information and should ensure the person receives any notice required by applicable law. Softnex may use reasonable checks to identify duplicate leads, prevent abuse, verify payments, and protect the integrity of its business records.

4. How we use personal information

  • Respond to enquiries, contact you about a requested quote, and understand your business or technical requirements.
  • Prepare estimates, proposals, statements of work, project plans, and communications.
  • Review partner applications, administer approved partner accounts, record referral attribution, and calculate eligible commissions.
  • Deliver, test, maintain, and support contracted websites, applications, software, integrations, or other services.
  • Maintain project, accounting, payment, refund, commission, and other business records.
  • Operate and secure the website and portals, prevent fraud or misuse, troubleshoot errors, and enforce access restrictions.
  • Respond to support requests, complaints, requests about personal information, and legal or regulatory requirements.
  • Improve our services and website where appropriate and permitted, including using aggregated or de-identified information where practicable.

We handle information for these purposes using the grounds or permissions available under applicable law, which may include responding to your request, taking steps toward a contract, performing a contract, complying with law, protecting legitimate business and security interests where permitted, or obtaining consent when it is required. If a purpose materially changes, we will provide additional notice or seek consent where required.

5. How we share information

We do not sell personal information as a business practice. We may disclose information only as reasonably necessary for the purposes described in this policy, including to:

  • Softnex personnel and authorised contractors who need the information to respond to an enquiry or perform a project.
  • Hosting, cloud storage, database, security, communications, transactional email, authentication, and other technology service providers used to operate the website or deliver services.
  • Payment providers, banks, accountants, auditors, legal advisers, or other professional advisers where needed for a transaction, accounting, advice, or dispute.
  • Approved team members or partners where access is required for an assigned business lead or project and is permitted by the applicable role and confidentiality rules.
  • Public authorities, courts, regulators, or other persons where disclosure is required by law or reasonably necessary to protect legal rights, security, or safety.
  • A successor or transaction participant if Softnex undergoes a business reorganisation, subject to appropriate confidentiality and legal requirements.

We aim to limit sharing to what is relevant for the stated purpose. Service providers may process information under their own terms and privacy notices as well as any contractual requirements imposed by Softnex. We do not control the independent privacy practices of third-party websites or services you choose to use.

6. Storage and cross-border processing

Information may be stored in systems operated by Softnex or by service providers engaged to host, secure, back up, or process it. Depending on the provider and configuration, information may be processed or stored outside the Indian state or country where you are located. Where cross-border processing occurs, Softnex will apply the requirements and restrictions imposed by applicable law and the arrangements available with the relevant provider.

The providers and systems used may change over time. Where a change requires additional information, notice, or consent under applicable law, we will take the steps required for that change.

7. Cookies, logs, and similar technologies

The website or its infrastructure may use essential cookies, session identifiers, or similar technologies to support page functionality, authentication, security, and user preferences. These technologies may be necessary for a feature to work correctly.

If Softnex enables analytics, embedded content, advertising technology, or other optional tracking tools, those tools may collect usage or device information under their own terms. Softnex should disclose the tools actually used and provide consent or preference controls where required by applicable law. You can also use browser settings to manage cookies, although blocking essential cookies may cause some features to stop working.

Server and security logs may be used to diagnose problems, detect abuse, investigate incidents, maintain audit trails, and protect accounts and systems. We do not promise that every browser or service provider will use the same technical identifiers.

8. Retention and deletion

We retain information for as long as reasonably needed for the purpose for which it was collected, including to respond to an enquiry, manage a partner relationship, deliver a project, maintain financial and audit records, resolve disputes, protect security, and comply with law. The necessary period varies by the kind of information and the circumstances; we do not state a single retention period for every record.

When information is no longer reasonably required, we will take steps to delete it, anonymise it, or securely dispose of it where practicable, subject to legal, accounting, contractual, security, backup, and dispute-resolution needs. Copies may remain temporarily in protected backups or systems until their normal deletion cycle, unless law requires a different approach.

9. Information security

Softnex aims to use reasonable technical, administrative, and organisational safeguards appropriate to the nature of the information and the services. Depending on the system, measures may include access controls, role-based permissions, secure authentication, protected connections, logging, backups, and limiting access to people who need it.

No website, network, database, email, or cloud service can be guaranteed completely secure. Do not send credentials or highly sensitive information through an ordinary public form. If you believe information sent to Softnex has been exposed or an account has been compromised, contact us promptly at [email protected] and describe the concern without sending a password or one-time code.

10. Your choices, rights, and requests

Depending on the laws in force and applicable to your information, you may be able to ask us to provide access to, correct, update, or delete personal information; withdraw consent where processing relies on consent; object to or restrict particular processing where such rights apply; or raise a privacy grievance. We will assess each request under the applicable law and any relevant exceptions.

To make a request, email [email protected] from an address we can use to communicate with you. State the request clearly and provide enough context to help us locate the relevant record. We may ask for reasonable additional information to verify your identity or authority before disclosing, correcting, or deleting information. We will respond within the period required by applicable law or, if no period applies, within a reasonable time.

A request to delete information may not be possible in full where Softnex must retain particular records for a legal, accounting, contractual, security, or dispute-related purpose. If we cannot comply fully, we will explain the position to the extent the law permits. Withdrawing consent does not necessarily affect processing already completed lawfully before withdrawal, nor processing based on another lawful ground.

11. Service messages and marketing

We may send messages needed to respond to your enquiry, assess your partner application, provide a quote, administer a project, address a support request, or communicate about payments, security, or legal matters. These are service-related communications.

Softnex should send promotional or marketing messages only where it has an appropriate basis under applicable law and should provide an appropriate method to opt out where required. You can ask us to stop non-essential promotional messages by contacting [email protected]. This will not stop necessary service or legal communications.

12. Partner, lead, and client information

The Softnex business portal may record leads, lead source and referral codes, partner attribution, project status, payment records, and commission calculations. This information supports lead management, business administration, accounting, fraud prevention, and the commission arrangements described in the Partner Terms. Access should be limited to authorised roles: a partner should only see the leads, clients, projects, or commission records permitted for that partner.

Partners who enter a prospective client's information must use it for legitimate Softnex business activities, keep it confidential, and share it only where authorised. Partners should inform prospects about the referral and the planned sharing of information when required by law or good practice. Do not upload sensitive or unrelated personal information into a lead record.

A partner application is not automatically an active partner account. Applications may be reviewed by authorised Softnex personnel and retained as business records whether approved or declined, subject to our retention practices and applicable law.

13. Children and third-party links

The website and services are intended primarily for businesses, organisations, startups, and people seeking technology services or a business referral relationship. We do not knowingly seek personal information from children through general enquiry or partner forms. If you believe a child has provided us information inappropriately, contact us so we can review it.

Our website may link to third-party services, social platforms, app stores, or external websites. Those services are governed by their own terms and privacy notices. Review their policies before submitting information to them; Softnex is not responsible for independent third-party privacy practices.

14. Changes to this Policy

We may update this policy when our systems, services, or legal obligations change. We will publish the updated text on this page and change the "Last updated" date. If a change requires a specific notice or consent under applicable law, we will take the steps required for that change.

15. Contact and privacy complaints

For questions, access or correction requests, deletion requests, consent withdrawals, or privacy complaints, contact Softnex Technologies at [email protected]. Please do not include passwords, one-time passcodes, or complete payment credentials in your message.

Business location: Navi Mumbai, Maharashtra, India. We will handle privacy requests and complaints through the contact channel above and in accordance with applicable law.
